This Privacy Policy describes how your personal information is collected, used, and shared when you visit or make a purchase from Clarity of Sight Ltd or reflexologymk.

Personal Information we collect

When you visit the Site, we automatically collect certain information about your device, including information about your web browser, IP address, time zone, and some of the cookies that are installed on your device. Additionally, as you browse the Site, we collect information about the individual web pages or products that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site. We refer to this automatically-collected information as “Device Information.”

Additionally, when you make a purchase or attempt to make a purchase through the Site, we collect certain information from you, including your name, billing address, shipping address, payment information (including credit card numbers, Apple Pay, PayPal details email address, and phone number, where supplied.  We refer to this information as “Order Information.”

When we talk about “Personal Information” in this Privacy Policy, we are talking both about Device Information and Order Information.

How do we use your personal information?

We use the Order Information that we collect generally to fulfil any orders placed through the Site (including processing your payment information, providing you with invoices and/or order confirmations).  Additionally, we use this Order Information to:

When in line with the preferences you have shared with us, provide you with information or advertising relating to our products or services.

We use the Device Information that we collect to help us screen for potential risk and fraud (in particular, your IP address), and more generally to improve and optimize our Site (for example, by generating analytics about how our customers browse and interact with the Site, and to assess the success of our marketing and advertising campaigns).

Sharing your personal Information

Finally, we may also share your Personal Information to comply with applicable laws and regulations, to respond to a subpoena, search warrant or other lawful request for information we receive, or to otherwise protect our rights.

Behavioural Advertising

Please note that we do not alter our Site’s data collection and use practices when we see a Do Not Track signal from your browser.

Your Rights

If you are a European resident, you have the right to access personal information we hold about you and to ask that your personal information be corrected, updated, or deleted. If you would like to exercise this right, please contact us through the contact information below.

Additionally, if you are a European resident we note that we are processing your information in order to fulfil contracts we might have with you (for example if you make an order through the Site), or otherwise to pursue our legitimate business interests listed above.  Additionally, please note that your information may be transferred outside of Europe, including to Canada and the United States.

Data retention

When you place an order through the Site, we will maintain your Order Information for our records unless and until you ask us to delete this information.

When an order is placed for any training, courses, workshops, Reiki or Reflexology,  we may hold paper and or electronic information relevant to the above for our records. Any paper copies are locked away.

Changes

We may update this privacy policy from time to time in order to reflect, for example, changes to our practices or for other operational, legal or regulatory reasons.

Children

For children under 18, a parental or guardian signature is required on paperwork  and the parent or guardian will need to be present, and in sight, throughout the treatment/training.

General Data Protection Regulation (GDPR) - Reiki and Reflexology

This tells you what personal information I hold and why, and what your rights are. You will be asked to sign this document before your first treatment too and your signed copy will remain on record.

The Purpose of Processing Client Data

I hold and use client data in order to provide you with the best possible treatment options, support, and advice. I may contact you by email, phone, or text in relation to appointment times and or reflexology information or information related to your health.           

Lawful Basis for Holding and Using Client Information

The lawful basis under which I hold and use for information is my legitimate interests i.e. my requirement to retain the information in order to provide you with the most appropriate treatment options. As I hold special category data (i.e. health related information), the ‘Additional Condition’ under which I hold and use this information, is for me to fulfil my role as a health care practitioner bound under the AoR Confidentiality as defined in the AoR Code of Practice and Ethics.

The Information I Hold and What I Do with It

In order to give professional reflexology treatments, I will need to gather and keep potentially sensitive information about your health. I will only use this for informing reflexology treatments, any advice I give as a result of your treatment,

Your contact details, medical history and other health-related information, treatment details and related notes, reflective practice – my thoughts on how the treatments are progressing.

I will NOT share your information with anyone else.

Protecting Your Personal Data

I am committed to ensuring that your personal data is secure. In order to prevent unauthorised access or disclosure, I have put in place appropriate technical, physical, and managerial procedures to safeguard and secure the information we collect from you. I will contact you using the contact preferences you have given me.

Your Rights

GDPR gives you the following rights:

  • the right to be informed: to know how your information will be held and used.
  • the right of access: to see your therapist’s records of your personal information, so you know what is held about you and can verify it.
  • the right to rectification: to tell your therapist to make changes to your personal information if it is incorrect or incomplete.
  • the right to erasure: for you to request your therapist to erase any information they hold about you.
  • the right to restrict processing of personal data: you have the right to request limits on how your therapist uses your personal information.
  • the right to data portability: under certain circumstances you can request a copy of personal information held electronically so you can reuse it in other systems.
  • the right to object: to be able to tell your therapist you don’t want them to use certain parts of your information, or only to use it for certain purposes.
  • rights in relation to automated decision-making and profiling.
  • the right to lodge a complaint with the information commissioner’s office: if you feel your details are not correct, if they are not being used in a way that you have given permission for, or if they are being stored when they don’t have to be.

Practitioner’s Rights

Your therapist has to keep the records of your treatment for a certain period as described above, which may mean that even if you ask them to erase any details about you, they might have to keep these details until after that period has passed. Your therapist can move records between their computers and IT systems, as long as your details are protected from being seen by others without your permission.
